1. Who we are

Easy4Travel ("we", "us") is a travel agency based at 94 Vesper Road, Leeds LS5 3QS, West Yorkshire, UK, trading as Easy4 Travel Ltd (registered in England and Wales, company number 10438847). 2. Personal data we collect

Enquiries. When you contact us by form, WhatsApp, email, phone or social media, we collect the details you provide: name, email address, phone number, and your travel preferences (destination, dates, party size, budget).

Bookings. When you book, we additionally collect the information required to make travel arrangements: names and dates of birth of all travellers, passport details, contact and emergency contact details, and any special requirements you tell us about (for example dietary, mobility or medical needs — see section 5).

Website. Our website does not set marketing or tracking cookies — there is no analytics or advertising tracking script on this site. (If that changes in future, e.g. Google Analytics is added, this statement must be updated first.) Our form provider and hosting provider process technical data (such as IP address) to deliver the service and prevent abuse.

3. Why we use your data (purposes and lawful bases)

We use enquiry data to respond to you and prepare quotes — necessary to take steps at your request before entering into a contract. We use booking data to arrange and manage your travel — necessary for the performance of our contract with you. We keep records for accounting and tax — necessary to comply with legal obligations. We send marketing emails (offers and travel inspiration) only with your consent, and every message includes an unsubscribe link; you can withdraw consent at any time.

4. Who we share your data with

To deliver your trip we share relevant details with travel suppliers: airlines, hotels, transfer and cruise operators, tour operators and their agents. Where your trip is outside the UK, this means your data is transferred to the countries you are travelling to, which may not have equivalent data protection laws; we share only what the supplier needs to provide your booking. We also use service providers for email, forms and website hosting under appropriate agreements. We do not sell your personal data.

5. Special category data

Health-related information (such as mobility, dietary or medical needs) is collected only when you volunteer it so we can arrange suitable travel, and is shared with suppliers only as needed to meet those needs. By providing it you consent to this use; you may withdraw consent, though this may limit the arrangements we can make.

6. How long we keep your data

Enquiry data that does not lead to a booking: up to 24 months, then deleted. Booking records: 7 years, to meet accounting, tax and legal-claim requirements. Marketing list: until you unsubscribe.

7. Your rights

Under UK GDPR you have the right to access your data, correct it, have it deleted, restrict or object to its processing, data portability, and to withdraw consent where processing is based on consent. To exercise any right, email contact@ez4travel.co.uk. We respond within one month. You also have the right to complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).

8. Security

We limit access to personal data to those who need it, use reputable providers for email and hosting, and protect our accounts with strong authentication. No system is completely secure; if a breach affecting your rights occurs we will notify you and the ICO as required by law.

9. Changes to this policy

We will post any changes on this page and update the date above. Significant changes will be highlighted on the site.
